Client-facing teams
Agree which documents to request, where the client uploads them and who confirms receipt. Keep intake organized by engagement instead of passing confidential files through email chains.
NEXTCLOUD FOR FINANCIAL & PROFESSIONAL SERVICES
Share client information and coordinate professional teams within a clearly governed environment.

Who uses the workspace
Client intake, review and delivery can span several teams and systems. Use a workspace per engagement with clear rules for client access, internal working files and final deliverables.
Agree which documents to request, where the client uploads them and who confirms receipt. Keep intake organized by engagement instead of passing confidential files through email chains.
Separate client-provided records, working documents and approved deliverables. Assign a named owner for the workspace and agree which colleagues can share files externally.
Use a defined review copy and keep comments with the draft. Identify who authorizes delivery and which version the client should receive.
Review administrator access, retention, external sharing and restore responsibilities. Agree what evidence to keep and how exceptions will be reviewed.
A practical workflow
Create a dedicated intake location and decide whether the client needs a named account or a controlled upload link. Test that the client sees only what the process requires.
Give the engagement team the access it needs and track which documents are ready for review. Use supported co-editing where it fits your review process.
Move the approved files into a separate delivery location. Check the recipient, permitted actions and expiry before opening access.
Remove temporary access, transfer ownership and retain the agreed records. Confirm how to export or restore a sample engagement file when required.

Client matters need clear ownership and controlled exchange. Use an agreed private workspace to support confidentiality, access reviews and recoverable collaboration.
Separate client teams and external advisers.
Configure authentication and sharing permissions.
Keep configured logs for investigation and review.
Define backups, restoration tests and provider responsibilities.
In a client engagement
Give an engagement team access to its own workspace and offer the client an agreed channel to upload documents. Before closing the engagement, remove temporary access, confirm who owns the records and apply the agreed retention process.

YOUR PLATFORM. YOUR OPERATING MODEL.
Choose who operates the platform. We define the deployment, responsibilities and support scope with you before implementation.
For organizations that want to run Nextcloud on their own or agreed private infrastructure.
For teams that want a defined operational service alongside their collaboration platform.
Proposed service scope. Hosting, subscription, response times, recovery objectives and pricing are confirmed in the written offer. Managed service is an operating model; it can include Nextcloud Enterprise.
QUESTIONS BEFORE YOU START
Create a dedicated workspace per client or engagement, with access assigned to the team that needs it. Define who can create workspaces, add a colleague and approve external sharing.
Test separation with representative accounts for two engagements. Include engagement closure, personnel changes and the treatment of retained copies after the workspace is archived.
Design the collection process around the client and the sensitivity of the documents. For example, agree whether the client should use a named account or a controlled upload link, who receives the files and when that access expires.
Test from a client account before launch. Check what the client can see, where uploads land and how your team confirms receipt without exposing other engagement material.
Bring the requirements that apply to your firm and its client engagements, including retention, administrator access, activity logging and the handling of incidents. Set clear ownership for each control.
Review the agreed hosting and support model alongside the configuration. Test a representative access review, document export and restoration so the team can see what evidence the deployment can produce.
Choose between infrastructure you operate and a hosting environment agreed during solution design. Before deployment, we document where primary files and backups reside, who can administer each system and how data is exported or restored.
If your procurement or contracts specify a country, a provider or limits on remote support access, bring those requirements to the design review. We confirm them against the proposed deployment and service terms.
Start with one workflow
Choose one engagement type and map client intake, internal review and delivery.
Test separation between two sample engagements, client upload and access revocation.
Confirm retention ownership, export and recovery with the teams responsible before scaling.
